Want to get up and running without learning every feature? This guide is for you.
If you only want to:
- offer one type of session (say, a 30-minute private),
- build your schedule by dropping athletes into time slots yourself, and
- grow your client list as you go instead of importing everything up front
…follow these five steps. Total time: about 10 minutes.

1. Open the Schedule and check your timezone
From your coach home, tap Schedule in the top nav.
In the tool ribbon at the top of the Schedule page, find the Timezone tile. Make sure it matches the zone you actually coach in — every session you build will save and display in this zone, so getting it right once saves headaches later.
You can ignore the other tiles in the ribbon for now.
2. Create one session type
Still in the ribbon, tap Session types.
A session type is just a template for what you offer. For this quick-start, create one:
- Name — something the family will recognize (e.g. "30-min private", "Tumbling clinic")
- Length — how long the session runs in minutes
- Max athletes — 1 for a private, 4 for a small group, etc.
- Price — flat dollar amount
Save. You can come back later and add more types.
3. Switch to Draft mode and place sessions on the calendar
The Schedule page has two modes: Live (what families can see and book) and Draft (your private staging area). Switch to Draft using the toggle at the top.
In Draft, click an empty time block on the calendar. A small form pops up — pick your session type, confirm the time, and save. The slot lands on the draft calendar.
Click empty blocks for every session you want this week. They stay private to you until you publish.
4. Add your athletes directly into the sessions
For each draft slot, click it open and use Add athlete. The first time you book someone, you'll type their name + the parent's email (or phone). LevLUp creates a quiet "shadow" record for them — they don't get bothered until you publish.
This is how your client list builds itself: every athlete you drop into a slot gets added to your roster. No bulk import needed.
Tip: if the same family will be in multiple sessions, you only enter them once — the second slot lets you pick them from a dropdown.
5. Publish
When the week's schedule looks right, tap Publish at the top of the draft view.
What happens at publish:
- Each family gets an email confirmation with the date, time, and price.
- The session moves from your draft calendar to your live calendar.
- After each session, you'll see it under Bookings so you can mark it paid, unpaid, or no-show.
That's it. The simplest possible LevLUp setup.
When you're ready for more
Once this basic flow feels comfortable, the full features open up:
- Recurring sessions — set up a weekly slot once and it fills every week
- Self-booking by families — share your public coach page so parents book themselves
- Session feedback + private notes — leave a note for the parent after each session, and keep your own running observations on each athlete
- Bulk contact import — drop in an iPhone .vcf export and pre-load your whole client list
- Bundles + variable pricing — sell packages, or have prices that flex with how many athletes book in
