What does LevLUp do for me as a coach?

LevLUp gives you a private booking page, a weekly schedule that families can book into on their phones, flexible pricing for shared and private sessions, calendar sync, and payment reminders that go out automatically when a session is unpaid. You keep 100% of every payment.

How do I get set up?

Sign up, claim your booking page link, define a couple of session types with pricing, then generate your weekly schedule. Most coaches are live in under 15 minutes. You can invite your existing families by email so they can start booking right away.

What's a 'session type'?

A reusable template for the things you sell — say a 30-minute private, a 45-minute tumbling tune-up, or a 60-minute clinic. Each one carries its own duration, capacity, and pricing rules. Slots in your schedule offer one or more session types, so a single time block can be bookable as either a private or a shared session.

How do I build my schedule?

Generate recurring weekly slots in a couple of clicks, then add or remove one-off times as your week shifts. Each slot's capacity pre-fills from the session types it offers, so a private stays 1-on-1 and a clinic fits the whole group.

What pricing options do I have?

Three, picked per session type. Capped split: a group shares one total, so each athlete pays less as the slot fills, down to a per-person floor. Stacked minimum: a flat per-person rate every time. Private buyout: a single family reserves the whole slot at a price you set. You can mix these on the same slot — e.g. a slot that offers both a shared rate and a private buyout option.

Can you walk me through the capped-split math?

Sure. Say your group cap is $60 and your per-person floor is $20. One athlete pays $60. Two athletes pay $30 each. Three athletes pay $20 each (the floor). A fourth athlete pays $20 too — and now you're at $80 total, so the floor actually grows your revenue once the slot is full enough.

How do shared and private bookings work together?

When a slot has space, multiple athletes can share it (each paying the shared rate). If a family books it as a private buyout, the slot is locked and no one else can add on. First booker effectively chooses the format if both options are available.

Is my booking page public, or just for my families?

Private to the families you've approved. Families either accept an invite you send by email or request to join your client list from your link — you approve, decline, suggest another coach, or mark yourself at capacity on each request. Only approved families can see your schedule and book.

Can I remove or block a family from my client list?

Yes, any time. Removing or blocking a family doesn't cancel their existing bookings — those still happen unless you cancel them — but they won't be able to make new bookings. Blocking is silent: they aren't notified.

How do payments work?

Families pay you directly. You configure the payment options you accept and LevLUp builds a one-tap pay link the family can use from email or text. The money moves between the family and you — we never touch it and we never take a cut.

What happens when a family doesn't pay?

After a session you mark the outcome as 'unpaid' and LevLUp emails the parent with the amount and a one-tap pay link. If they've opted in to text reminders, they get a text too. You can re-send the reminder from the booking detail at any time.

Can I see my schedule in my own calendar?

Yes. Subscribe once in Apple or Google Calendar and your LevLUp schedule stays in sync. Event titles show whether a slot is booked or open, and reminders fire a day and an hour before each session.

Can my booking page match my gym's brand?

Your page lives at your own link and can automatically pick up your club website's colors and font. We only ever pull colors — never logos or trademarked assets — and you can reset to the clean default any time.

How do I cancel a session?

Cancel from the booking detail and the family is notified by email (and text, if they're opted in) right away. Cancelling never charges them.

I coach more than one thing — can I run it all from LevLUp?

Yes. Define each thing as its own session type with its own pricing and capacity. Families see the options available on each slot, so a single booking page can serve tumbling privates, stunt groups, and skills clinics side by side.

How booking, accounts, and sessions work from the parent side.

Do I need an account to book?

Yes — but it's quick. Sign up once with your email, set a password, and you can book for any of your athletes from then on. We also support magic-link sign-in (we email you a one-click link) if you forget your password.

I have more than one athlete. Do I need multiple accounts?

No. One parent account holds every athlete in your family. Add each kid once and you can book any session for whichever of them is going.

How do I find a coach?

If your coach gave you a link, you're set. You can also browse coaches by sport at /coaches — but most coaches keep their pages private to families they already work with, so you may need to be invited.

What does a 'shared' session mean for me?

Your coach has marked the slot as one multiple athletes can share. You and other families split the cost — usually with the per-person price going down as more athletes book the same slot. The price you'll pay is shown when you book; it can go down further if more athletes join before the session.

What's a private buyout?

You reserve the whole slot for your athlete (or athletes) — no one else can add on. Useful when you want the coach's full attention. The price is fixed at booking.

Can I cancel a session?

Yes, from your bookings list. Cancellation policies are set by your coach, so check their page for any notice period.

Can I reschedule?

To move a session you cancel the existing booking and pick a new open slot. This is intentional — your coach sets a cancellation window (for example, 24 hours' notice), and going through cancel-and-rebook means the same notice rules apply if you're moving close to the session. It also makes it clear if the new slot has a different price.

How do I pay?

After your session, your coach will mark it complete. If they accept direct payment, you'll get an email (and optionally a text) with the amount and a one-tap link that opens whichever payment service your coach uses. The payment goes straight to your coach.

Can I see bookings on my own calendar?

Your past and upcoming sessions live in your LevLUp account. Calendar export for parents is on the roadmap — for now, your coach's reminders cover what's coming up.

Will I get reminders?

Yes — emails before each session, and a text if you've opted into text reminders in your account.

Accounts, sign-in, and billing

What does LevLUp cost?

Free while we onboard our first coaches. We'll give you plenty of notice before any pricing changes. Families never pay LevLUp anything — only their coach.

How does sign-in work?

Password is the primary way. First-time sign-in uses an emailed magic link to verify the email, then you're sent to set a password so future logins are immediate. If you ever forget your password, switch to 'email me a link' on the sign-in screen.

I forgot my password.

On the sign-in page, click 'Email me a link', enter your email, and we'll send a one-click sign-in. From there you can set a new password.

What do you do with my data?

We store what's needed to run your bookings — your account, your athletes (if you're a parent), your schedule and client list (if you're a coach), and your booking history. We don't sell or share it with third-party advertisers. See our privacy page for the details.

Can I delete my account?

Yes — get in touch from the contact page and we'll remove your account and personal data. Past bookings on a coach's history may be retained for the coach's own records.
