What does LevLUp do for me as a coach?
You get a private booking page, an elastic weekly schedule your families can book from their phones, session-type pricing that handles shared and private bookings automatically, calendar sync, and pay-link reminders that go out when a session is unpaid. You keep 100% of every session payment — money moves directly between the family and you via Venmo, Cash App, or Zelle. LevLUp never touches the funds.
How do I get set up?
Sign up, claim your booking-page slug, add a couple of session types with pricing, add at least one facility, and open a window on your schedule. Most coaches are live in under 15 minutes. You can invite your existing families by email or paste-many, or share your Coach QR code so parents can request to join your list.
What's a 'session type'?
A reusable template for what you sell — a private lesson, a stunt clinic, a tumbling tune-up. Each type has a name, capacity, working durations (30 or 60 minutes), whether it's public (drop-in) or roster-gated, and a set of shape prices. Slots on your schedule offer one or more session types, so one time block can be bookable as a private OR a shared session.
What does 'shape pricing' mean?
A session type can be enabled for up to four combinations: 30-min private, 30-min shared, 60-min private, 60-min shared. Each combo gets its own price. Coaches who only do 60-minute privates just fill in one price; coaches who mix formats can offer all four on the same session type without duplicating the type itself.
How does availability work?
You open time windows on your schedule — e.g. Tuesday 4:00–7:00pm at your primary gym. The window declares which session-type shapes are bookable inside it (any subset of 30/60 × private/shared). Families pick a start time and shape inside the window; LevLUp locks the exact duration + price the moment they confirm. This replaces fixed-slot scheduling from v1: one window covers as many bookings as the shape choices allow.
What pricing options do I have?
Three, picked per session type. Capped split: a group shares one total, so each athlete pays less as the slot fills, down to a per-person floor. Stacked minimum: a flat per-person rate every time. Private buyout: one family reserves the whole slot at a fixed price. You can mix these on the same session type — e.g. shared-rate with a private-buyout option at the same time slot.
Can you walk me through the capped-split math?
Sure. Group cap $60, per-person floor $20. One athlete pays $60. Two athletes pay $30 each. Three athletes pay $20 each (that's the floor). A fourth athlete pays $20 too — and now you're at $80 total, so the floor actually grows your revenue once the slot is fuller than the cap alone would allow. What are bundles?
Group a run of related slots into a bookable series — a 4-week stunt block, a 3-day summer camp, an 8-lesson package. Set two prices: per-session and full-bundle (usually discounted). Families see the bundle offer the moment they open any session inside it, and they can commit to the whole run in one click at the discounted price OR book just the one at the per-session rate. A bundle purchase reserves the athlete's seat in every session so families don't lose their spot mid-series.
What are public clinics?
Mark a session type public and it bypasses your roster gate — any signed-in family can book without being on your list. Perfect for open clinics, evaluation days, tryout prep, and summer camps you want to grow into new families. Your private lessons stay roster-gated on the same schedule; public and private coexist without either compromising the other.
How do I build my weekly schedule?
Two workflows. Draft workspace: build a full week in private, then publish it all at once — either immediately or on a scheduled release so every family sees the new week at the same moment. Recurring templates: save a week you've built as a template, then stamp it forward as many weeks as you want and tweak. Between the two, you rarely enter the same time twice.
Can I publish just one week at a time?
Yes. On the draft schedule, the Publish week button scopes to whatever Sun–Sat range is on screen. Publish this week immediately, or schedule its release for later. Handy when you're building multiple weeks ahead but only want to open one at a time to your families.
How do I cancel a whole day?
Cancel-day on the schedule wipes every booking on the selected date and emails (and texts, if opted in) every affected family in one shot. Draft-only slots for that day get deleted quietly since no one saw them. Use it for sick days, tournaments, or unexpected gym closures.
How do I set up a new season?
Draft next season's week in the draft workspace, then send it out as an availability survey. Every roster family gets a mobile-friendly grid of the times you're considering; they mark each cell Preferred / OK / Not available on their phone. Auto-arrange picks a first-pass schedule from the responses (with pair-detect to flag athletes who both want the same shared slot). You review, tweak, and publish it as your new recurring template.
What are rosters and client groups?
Segment your client list into groups like "Senior 4", "Tumbling only", "Tryout list". A family can belong to many. Per-group rules let you cap weekly hours by session type, hide session types entirely, or restrict individual slots to specific rosters — so tryout windows and invite-only clinics stay invisible to everyone else. Email a roster directly when you open a new session; only they get the booking link.
How do families join my client list?
Three ways. Approve their request from your Requests inbox — parents who visit your booking page can request to join. Invite by email (single or paste-many). Add a shadow contact by email or phone; LevLUp treats them as a client for booking purposes even before they sign up, then merges silently when they do.
What if I'm too booked to take a family?
Refer them to another LevLUp coach in one click. They get a warm intro; you stay good with the family; the network grows. Decline reasons include Capacity, Wrong level, and Refer to Coach — the last one exposes a picker so you name the target coach.
Is my booking page public, or just for my families?
Private by default. Only families you've approved see your schedule and can book private sessions. Public session types (drop-in clinics) bypass the gate. You can also opt in to the coach directory (/coaches) so parents searching by sport / zip / offering can find you.
Can I remove or block a family?
Yes, any time. Blocking is silent — the family isn't notified; their future booking requests just won't go through. Existing bookings stay unless you cancel them. Reversible any time.
How do payments work?
Families pay you directly via Venmo, Cash App, or Zelle — whichever you accept. LevLUp builds a one-tap pay link with the amount pre-filled and a unique memo code so matching a deposit to a session takes seconds. The money moves between the family and you; we never touch it and we never take a cut.
Can I require payment at booking?
Yes. Flag a session type as pay-at-booking and every confirmed booking on it goes on an automatic reminder cadence: the family gets email nudges until you mark it paid. Off the flag and payment reminders only fire after you mark the session complete and unpaid.
What happens when a family doesn't pay?
After a session you mark the outcome as 'unpaid' and LevLUp emails the parent with the amount + a one-tap pay link. If the family's opted into text reminders, they get a text too. You can re-send the reminder from the booking detail any time.
How do waitlists work?
Two flavors, both automatic. Per-slot waitlist: a family joins the FIFO queue on a full slot; when a seat opens, the top of the queue is auto-booked and emailed. Waitlist alerts (older, notify-only): family opts in for a coach + optional day-of-week; whenever the coach publishes new slots that match, the alert fires. Coaches don't have to manage either — LevLUp handles the matching and the emails.
Can I see my schedule in my own calendar?
Yes. Subscribe once in Apple or Google Calendar and your LevLUp schedule stays in sync. Event titles show Booked or Open at a glance, and reminders fire 24 hours and 1 hour before each session.
I coach across multiple gyms and mats. Can LevLUp handle that?
Yes. Add a facility for each location (with an address that geocodes for coach-search) and one is marked primary. Under each facility you can add sub-locations — Mat 2, Court 3, Field A — and pin a slot to a specific spot inside a larger facility. Optional; coaches with a single space just leave sub-locations empty.
Can my booking page match my gym's brand?
Your page lives at your own link and can pick up a theme from the LevLUp theme library. Colors + typography, not logos or trademarks. Reset to the clean default any time.
How do I share my page?
Two QR codes. The Coach QR auto-adds anyone who scans + signs up to your roster — print it for the gym wall or hand it out at clinics. The Public clinics QR shows only your public session types (drop-ins, clinics, camps) so parents can book without joining your roster. Both are crisp SVG that scale to any print size. Copy-link buttons let you DM the link directly.

Do I need an account to book?
Yes — but it's quick. Sign up with your email, set a password, add your athlete(s), and you're set. We also support magic-link sign-in (we email you a one-click link) if you forget your password.
I have more than one athlete. Do I need multiple accounts?
No. One parent account holds every athlete in your family. Add each kid once on your Account page → Participants and you can book any session for whichever of them is going.
How do I find a coach?
If your coach gave you a link or a QR code, open it directly. You can also browse the LevLUp coach directory at /coaches — search by name, club, sport, or zip. Note: not every LevLUp coach is publicly listed. Many keep their pages private and share links directly with families they work with.
How do I book a session?
Open your coach's page, pick a time from their week or list view, choose the athlete and (if the coach offers it) whether the slot is private or shared. Confirm — you get an instant calendar invite plus reminders 24 hours and 1 hour before the session.
What's a private buyout?
You reserve the whole slot for your athlete (or athletes) — no one else can add on. Useful when you want the coach's full attention. The price is fixed at booking.
What's a public clinic vs a private lesson?
Public clinics (drop-in classes, open camps, tryout prep) don't require you to be on the coach's private roster — any signed-in family can book. Private lessons are gated: you request to join the coach's client list, they approve, and then you can book. Public and private show on the same booking page; the roster prompt only appears if you try to book a gated session.
What are bundles?
A series of related sessions the coach has grouped together — a 4-week stunt block, a 3-day camp, an 8-lesson package. You can book the full series at a discounted price OR just the one session at the per-session rate. Booking the bundle reserves your athlete's spot in every session so you don't lose it mid-series.
How do I get on a waitlist?
On a full slot, tap Join waitlist. You're added to a FIFO queue — when a seat opens, the top of the queue is booked automatically and emailed. You can also opt in to Waitlist Alerts for a specific coach + day-of-week; whenever they publish new times that match, you get an email so you're first to book.
My coach sent me an availability survey — what do I do?
Open the link they sent (or the survey banner on your parent home). You see a mobile-friendly grid of times your coach is considering for the season. Mark each cell Preferred, OK, or Not available. Submit — your coach uses everyone's responses to auto-arrange a proposed schedule they can tweak before publishing.
Can I cancel a session?
Yes, from your bookings list. Cancellation policies are set by your coach — check their page for any notice window. Cancelling frees the slot immediately for someone else on the waitlist to grab.
Can I reschedule?
Cancel the existing booking and pick a new open slot. This is intentional — your coach's cancellation window (say 24 hours' notice) applies just like a regular cancel, and it makes clear if the new slot has a different price.
Can I hide a coach I no longer work with?
Yes. On My coaches, Archive hides the coach from your home without notifying them (you can Unarchive any time). Leave list removes you from the coach's active roster — they see you fall out of their client list, and you'd need to rejoin (which sends a fresh request they approve) to book again. Leave is blocked while you have upcoming confirmed bookings with that coach.
How do I pay?
After your session, your coach marks the outcome. If you owe, you get an email (and a text if you're opted in) with the amount and a one-tap pay link that opens your coach's payment app — Venmo, Cash App, or Zelle — pre-filled with the amount and a memo code. The payment goes straight to your coach.
Is there a mobile app?
A LevLUp Family app for parents is available on the App Store (iOS) with Android coming soon. The app covers booking, viewing bookings, and reminders. Coach admin lives on the web — set up your schedule and roster at levlup.pro.
Can I see bookings on my own calendar?
Your past + upcoming sessions live in your LevLUp account. Calendar export for parents is on the roadmap; for now, your coach's reminders cover what's coming up.
Will I get reminders?
Yes — email reminders 24 hours before and 1 hour before each session. You can opt into text reminders too if your coach has SMS Premium enabled.
How do I add or retire an athlete?
On your Account page, open the Participants tile — the pop-out lists your active + retired athletes and lets you add, retire, or delete. Retire keeps every past + upcoming booking on your history but hides the athlete from active pickers. Delete only works when the athlete has zero bookings; otherwise Retire is the answer.
Accounts, sign-in, and billing
What does LevLUp cost?
$15/month per coach, locked at $15 for as long as your subscription stays active. First month free. Families pay nothing to LevLUp; they only pay their coach for sessions.
How do Session Notes work?
Included in the base plan. After each session, jot down what the athlete worked on — the note attaches to that booking so the parent sees it on their /me schedule (and gets an email). You also keep a running per-athlete log that only you see, so you can flip back over weeks or months and see how far a kid has come.
Who handles my coach subscription billing?
LemonSqueezy — a merchant-of-record payment processor. Your subscription runs through them; card handling is entirely on their side. This is separate from session payments (which never touch LevLUp — they move Venmo / Cash App / Zelle direct family-to-coach).
How does sign-in work?
Password is primary. First-time sign-in uses an emailed magic link (we email you a one-click sign-in link) to verify the email, then you're prompted to set a password. From then on you sign in with email + password. Magic-link fallback stays available if you forget your password.
I forgot my password.
On the sign-in page, click Email me a link, enter your email, and we'll send a one-click sign-in. From there you can set a new password.
Can I be both a coach and a parent?
Yes. One LevLUp account can hold both roles. Toggle the parent role on from Account → Roles and you'll see both the Coach home and Participant home options in your avatar menu. Coaches who don't need the parent home can leave the toggle off.
What do you do with my data?
We store what's needed to run your bookings — your account, athletes (if you're a parent), schedule + client list (if you're a coach), and booking history. We don't sell or share your data with third-party advertisers. All traffic is over HTTPS; data is encrypted in transit (TLS) and at rest (AES-256). See our privacy page for the full details.
Can I delete my account?
Yes — get in touch from the contact page and we'll remove your account and personal data. A coach's booking history may retain a redacted trace of your prior sessions on their side for their own record-keeping.
